MINUTES OF THE BRGCA TRUSTEES ON 13th May 2013

Trustees - A Mason, P.Horrocks, D Brown, M Crosby, M Allcock, K Allsop
Working party - J Wragg and J Grant- Nicholas.
Laying of services - it was discussed what route would be used to lay on the water supply - across the fields or via the Greenview road - quotes to be obtained for supplying water and for supplying electricity to the site.
It is expected that a large mower will be needed when the field is developed this summer - quotes to be obtained.
Also storage of equipment needs to be considered.
Karl Allsop and Mark Alcock to obtain quotes for water supply and mowers.
Insurance - A quote is needed for liability and equipment etc when the field and Muga are in use. What security will be needed for equipment?
Pat Horrocks to obtain.
VAT Registration - contact to be made to the VAT offices to find out if we have to, or need to, register for VAT - and what VAT can be reclaimed or avoided. Pat Horrocks to send letter to HMRC.
The footpath adjacent to the entranceway will have to be fenced off for safety when work commences. Trustees will carry out this work themselves. The main tree has been pruned and made safe by Landscape Services - this will also need fencing off before work commences. Contractors Pugh-Lewis to be asked to fence round tree – Andrew Mason.
Chris Whitmore Planning DDDC has responded re conditions and they need a landscape/ tree/hedge planting scheme - they have shown no objections to the southern ditch being piped as per the planning condition documents. Jonathan Grant-Nicholas to deal with landscaping.
Jonathan Grant-Nicholas is putting together the MUGA grant application to SE Inspired Facility Fund and needs letters of support from all proposed user groups.
The accounts for 1st April 2012 to 31st March 2013 were approved and audited by J Smith, accountant.
